The Group Sales Reservations Coordinator is responsible for supporting all operational and direct sales efforts of the Sales team. Primary responsibilities include the building, monitoring and managing of group room blocks within the Hotel’s available inventory and ensuring group contractual obligations are met.

Responsibilities include providing personalized service to Group Sales VIP’s, general office duties, preparing reservation sales related documents, ordering amenities. Consistent and clear communication with members of the sales team and of the operational team is key to this positions success.

Group Reservations Functions:

  • Maintain accuracy of group blocks including cutoff date, room pick up, room type, suite blocks, rates etc.

  • Ensure accurate billing set-up for prompt and accurate processing

  • Ensure appropriate inventory and information is available for individual call-in groups via all designated booking channels.

  • Set up and maintain master file for each group with pertinent information, including but not limited to approved changes applied to the group and documented conversations with clients, convention service managers and sales manager

  • Monitor group pick up, cut-off dates, rate and room type availability to maximize hotel revenues and client/guest satisfaction

  • Audit all assigned group blocks, room rates and concessions against PMS per contract once group has turned definite

  • Ensure that blocks entered are consistent with pattern for group and that room type blocks flow for duration of the block

  • Seek approval for additional rooms beyond contracted block as defined by revenue manager

  • Create HyRes group websites and links as necessary

  • Coordinate all group activity and information, including processing of reservations, rooming lists, advance deposits, and group resumes to necessary departments

  • Review rooming lists for accuracy of information, format and billing requirements; Facilitate consumption of any complimentary rooms or other contractual room requirements (e.g. complimentary upgrades) and communicate with all appropriate departments.

  • Identify, process and block rooms for GROUP staff and VIP lists as necessary Block special request reservations and suites

  • Monitor non-guaranteed GROUP reservations daily, and contact caller of reservation if needed. You will be responsible for canceling the reservation when required

  • Take in-house reservations calls from GROUP SALES customers and Central Reservation agents requesting on property assistance or any and all other calls pertaining to room reservations

  • Reviewing reports and ensuring department checklist is complete

The budgeted range for this position starts at $18.50 - $24.05. Actual pay will be commensurate with experience.

Qualifications:

  • Excellent attention to detail and exceptional organizational and time management skills

  • Must be results- oriented and able to convey data-based information and ideas clearly

  • Must be effective in handling problems in the workplace, including identifying, anticipating, preventing and solving problems as necessary

  • Refined verbal and written communication skills

  • Must be proficient in general computer knowledge with advanced excel skills

  • 2 years Hotel experience preferred

  • Knowledge of Hyatt's reservation systems and procedures preferred

  • HyRes knowledge preferred
