Hyatt Conference Services Manager in CHARLESTON, South Carolina

Description:
The Conference Services Manager is responsible for the quality of the conference group experience and revenue generation through up selling groups. Requires a detail oriented, organized and flexible individual. Must be able to multi-task, problem solve, be flexible and adaptable to differing situations. Due to the intensity of interaction, excellent inter-personal skills are a must.

*Essential Job Functions: * * Ensure contracted meeting space and event types are accurate in Envision * Organize traces in Envision for follow-up; be familiar with status of each * Effectively communicate with group contact immediately upon receiving their contract * Work directly with group contact to plan all aspects of events * Suggestively sell menus that meet the guests needs and maximize revenues * Work effectively with contacts by conducting detailed planning visits and planning calls * Ensure deposits are received no later than the due date and reminders are being sent timely to ensure this goal is met * Monitor group pickup, reservation cut-off date and estimated number of attendees * Up-sell products and services to clients * Ensure client files are kept organized and current with all required information * Prepare accurate and detailed Banquet Event Orders and Groups Resume, obtain client signature as approval and distribute to Operational Departments in a timely manner * Create diagrams using Visio Diagram Software to ensure clients set up requirements are met * Order amenities for specified clients using departmental standards * Monitor changes to Banquet Event Orders; ensure that accurate information is communicated to respective departments in a timely manner * Plan and conduct pre-convention meetings with clients and applicable departments * Coordinate with all departments to ensure smooth execution of the groups events * Check function room set ups prior to guests arrival, ensuring all details are in agreement with clients requirements and resort standards * Welcome group contact upon arrival at all group functions and ensure guest satisfaction * Upsells other resort services and amenities to guests * Provides prompt follow-up to all guest concerns * Provides general resort information for guests * Offers warm and sincere welcome/farewell for all guests of Wild Dunes Resort including use of guest name & good eye contact with each guest * Instills a calm, organized approach in all stressful situations * Conduct post conference meeting with contact prior to departure * Review final master bill prior to being sent to client for payment * Complete a comprehensive group recap report within 72 hours of groups departure including feedback from operational departments * Maintains an up to date working knowledge of all resort amenities as well as any special events * Interacts with resort staff in a professional manner, assisting other departments with necessary information * Attends appropriate resort, division and department meetings * Maintains a strong knowledge of hospitality trends, especially food & beverage * Maintains a professional appearance. Follows all Wild Dunes Resort dress code standards * Always maintains a professional demeanor and attitude * Ensure all incoming calls are answered within 3 rings with proper greeting and telephone etiquette * Maintains constant awareness of safety issues and report if incident occurs * Monitor and maintain cleanliness, sanitation and organization of assigned work areas

Qualifications:
* High school diploma, GED, or the equivalent work experience required * Two or four year degree in field of choice preferred * Broad knowledge of hospitality & meetings industry required * Experience as a Conference Service Manager required * Prior Four or Five Diamond/Star experience preferred
