Hyatt Global Communications & Wellbeing Administrative Assistant II in CHICAGO, Illinois


The Administrative Assistant II will be will be responsible for providing a variety of administrative tasks to keep multiple teams (i.e., Global Communications & Wellbeing) running effectively and efficiently. He/she will manage calendars, coordinate and schedule meetings, travel and related itineraries, complete expense reports, help to facilitate internal communications, compile information for presentations and other MS Office applications, and assist with project and/or event management as needed. He/she will work collaboratively with the team leaders, as well as other functions within and outside the greater Commercial Services department.

This individual will be a shared resource with a dual-reporting structure into the leadership of the Global Communications & Wellbeing Teams.

Essential Duties & Responsibilities: * Provide administrative support to SVPs/VPs, including calendar management, meeting scheduling, travel arrangements and related itineraries that are often international by nature * Budget/Invoice management: track estimates and invoices, verify and process department invoices and manager’s expense reports * Assist in the preparation of various meetings, presentations, reports, projects, and communications * Process and maintain necessary filing and organization systems and department records * Partner with and manage external suppliers, as needed * Answer and screen incoming telephone calls and take messages as needed * Provide general administrative support to the team, as needed * Provide backup for admin counterparts as needed, working as a collective team * Develop and improve administrative processes, standards, and procedures for the team and broader department * Demonstrate holistic thinking, problem solving, and excellent attention to detail * Communicate in a clear and concise manner both through written and verbal communication and with cultural sensitivity given the global nature of Hyatt’s business * Effectively interact with executives, directors, managers – diverse team personalities * Demonstrate initiative in ambiguous situations as a self-starter * Demonstrate a commitment to Hyatt core values including a positive, “can do” attitude

Experience * High School diploma; Bachelor’s Degree preferred. * 3 years of previous administrative assistant experience, preferably at the executive level

Computer Skills * Proficiency with the Internet (search and website navigation and adeptness) * Proficiency with Microsoft PowerPoint, Excel, Word, Office, and Sharepoint Additional Comments and Requirements * Extensive organization, project management, and detail oriented skillset * Ability to work with multiple supervisors and balance priorities/tasks * Ability to anticipate needs and think ahead * Excellent written and verbal communication skills * Culturally-sensitive with experience communicating/arranging meetings/travel across regions and time zones * Possesses proactive, collaborative and customer service oriented attitude * Experience devising effective solutions in unstructured situations * Ability and interest to learn on the fly; open to change * Capacity to learn new softwareprograms/tools
