Description:
Administration

· Maintains, creates and routes all administrative paperwork related to or to be distributed by the Materials Department.

· Assist in compiling statistical reports as required by Materials Manager/Asst. Materials Manager.

· Mails, faxes, and forwards approved Purchase Orders to respective suppliers.

· Maintains item records and forms as required by the corporate management and policies.

· Maintains office organisation and maintenance.

· Maintains storeroom organisation and maintenance.

Customer Service

· Provides the appropriate level of professional, courteous and caring service to other employees (internal customers) and other visitors to the division.

· Provides a courteous and professional service at all times.

· Handles guest and employee enquiries in a courteous and efficient manner, reporting complaints or problems if no immediate solution can be found, whilst feeding back a prompt follow up.

· Maintains positive guest and colleague interactions with good working relationships.

Financial

· Ensure that hotel expenses are minimised through the use of effective purchasing and by obtaining the most competitive prices for goods and services.

· Keep inventories as low as possible to properly supply the operation’s needs and maximize inventory turnover and space utilization.

· Ensure that inventory items are stored properly and issued in FIFO rotation to minimise wastage and spoilage.

· Be aware of all cost in the Materials Department and to recommend measures of control.

· Advise the Materials Manager of unusual or remarkable cost of purchasing and consumption of inventory and non-inventory items. Recommends practices to reduce such cost including alternative sources for products.

· Adhere to all operating and control procedures to ensure that movement of goods into and within the hotel is properly accounted for as instructed by the Materials Manager.

Operational

Purchasing

· Day to day administrative operation of purchasing at the Materials Department.

· Maintaining food requisitions, purchase requests, purchase order files and records.

· Routes all incoming and outgoing mail as well as correspondence related to the Materials Department.

· Ensure that administrative inventory items i.e., office supplies, are stored properly and utilised accordingly to minimise wastage and spoilage.

· Utilise all measures of proper inventory control.

· Advise Materials Manager /Asst Manager Materials of unusual or excessively high consumption of inventory and non-inventory items.

· Adhere to internal control Policy and Procedure throughout the department, regarding receiving, inventory control, issuing, and emergency issuing.

· Answers and routes incoming telephone calls.

· Assists and coordinates all product requisitions and specifications of food item from kitchen.

· Maintain inventory Items, par stock items, to be included as inventory items, re-order points, item listing, Unit of Measure through the use of the Scala System.

· Ensure that every kitchen outlets in the hotel receives goods and services as required and to the standards they have specified.

· Create Purchase Orders for all food and beverage requisitions through the use of the SCALA System.

· Ensure full compliance with the Departmental Operational Manual for the various areas of the Materials Management.

· Operate and use the computer in accordance with established procedures Source and obtain price quotation for all purchase requests.

_Receiving_

· Responsible for the accurate, timely receipt and strict accountability of all goods and services received by the hotel.

· Ensures proper documentation of all receiving activities, including locally and off-island procured materials.

· Responsible for the timely and accurate processing of all receipts into the Hotel’s computer system, including the daily reporting of all receiving activities to the Materials Manager and the Accounting Department.

· Ensures prompt processing of all vendor credit requests and vendor credit memos, as well as the prompt return of rejected products to vendors.

· Ensures the security and maintenance of a clean and organised receiving area, including the receiving office, receiving dock, and adjoining areas.

_Storing_

· Accomplish the storeroom’s day to day operation of various goods and commodities for the hotel.

· Provide the supporting role of maintaining products both inventory and non-inventory which are being utilised by the various departments of the hotel.

· Actively and continuously maintain accurate record keeping for inventory and non-inventory items while maintaining continuity of supply through compliance of an established par stock.

· Assist in the maintenance and organisation of the storeroom, freezer and chillers.

· Ensure that inventory and non-inventory items are minimised through the use of an effective par stock.

· Keep inventories as low as possible and to properly supply the operation’s needs and maximise inventory turnover and space utilization.

· Ensure that inventory items are stored properly and issued in FIFO rotation to minimise wastage and spoilage.

· Utilise all measures of proper inventory control.

· Advise of unusual or remarkable consumption of inventory and non-inventory items.

· Ensure quality control, consistency, and storeroom maintenance is accomplished.

· Assist and coordinate all product requisitions and specifications from the various heads of department.

· Maintain Inventory Items, Par Stock, items to be included as inventory items, re-order points, item listing, Unit of Measure, Purchase Orders.

· Coordinate food and beverage in conjunction with purchasing, receiving, and issuing.

· Ensure that every department in the hotel receives goods and services as required and to the standards they have specified.

· Place all orders for inventory items based upon established and audited par stocks and inventory levels.

· Ensure full compliance with the Departmental Operational Manual for the various areas of the Materials Management.

· Operate and use the computer in accordance with established procedures.

· Assist in the selection of reliable regular supplies for all inventory items.

· Assists in monthly inventory counts and reconciliation.

Personnel

· Assists Materials Manager with the development and maintenance of a detailed Department Operations Manual that reflects policies and procedures, work processes and standards of performance within the Division. Ensures annual review to accurately reflect any changes.

· Assists Materials Manager with the preparation and regular update of the Materials Departmental Budget, ensuring targets are met and costs are effectively controlled.

· Establishes and maintains historical data and a library of catalogues referencing suppliers, price list.

· Maintains vendor files and historical files.

· Supports the implementation of The People Brand, demonstrating and reinforcing Hyatt’s Values and Culture Characteristics.

· Understanding of and adhering to employee rules and regulations.

· Ensures that all hotel, company and local rules, policies and regulations relating to fire and hazard safety, and security.


Other Duties

· Attends and contributes to all Meetings as required.

· Strictly adhering to rules and regulations established in the Employee handbook and the hotels policies concerning fire, hygiene and health and safety.

· Ensure high standards of personal presentation and grooming.

· Maintains positive guest and colleague interactions with good working relationships.

· Respond to requests to undertake any reasonable tasks and secondary duties and to changes as dictated by the hotel, industry and company.

· Exercises responsible behaviour at all times and positively representing the hotel team and Hyatt International.

· Maintains strong, professional relationship with the relevant representatives from competitor hotels, business partners and other organisations.

· Reads the hotel's Employee Handbook and have an understanding of and adhere to the hotel's rules and regulations and in particular, the policies and procedures relating to computer resources, fire, hygiene, health and safety.

· Carries out any other reasonable duties and responsibilities as assigned.
