The Food and Beverage Administrative Assistant provides administrative support to the food & beverage operation.

ESSENTIAL FUNCTIONS/RESPONSIBILITIES:

  1. Performs administrative support for the Food & Beverage department.

  2. Produces weekly and monthly reports.

  3. Handles correspondence for the management team.

  4. Performs mailing, faxing, and express mail functions for the department.

  5. Provides telephone support and attends weekly meetings and takes minutes.

  6. Maintains inventory of office supplies and promotional materials for the Department.

  7. Assists Managers to block events specifications in the computerized database.

  8. Assists with and completes special projects and assignments as requested.

  9. Has an extensive knowledge of the restaurant menu and maintains the ability to describe both the ingredients and preparation of each dish.

  10. Maintains a daily log of important information to share with the department.

  11. Handles schedules, personnel action forms, contacting candiates for interviews and payroll processing.

  12. Maintains an up to date working knowledge of all resort amenities as well as any special events.

  13. Takes restaurant reservations for guests and owners as needed.

  14. Interacts with resort staff in a professional manner, assisting other departments with necessary information.

  15. Is knowledgeable of all emergency procedures and company policies.

  16. Answers the telephone in a professional manner and assists guests with any questions.

  17. Creates cost saving controls,ensures economical and safe use of supplies and equipment.

  18. Upholds all safety standards.

  19. Is able to communicate verbally and in writing in English.

  20. Is ateam playerandinteracts with all guests and fellow Associates in a positive and friendly manner.

  21. Will assist in all other areas and job tasks as needed.

Qualifications:

  • High school diploma or equivalent required. College degree preferred.

  • 2-3 years prior adminstrative assistance experience in high volume establishment.

  • Food service knowledge a plus.

  • Excellent communication skills.

  • Extremely strong computer proficiency including advanced Excel knowledge.

  • Management experience preferred.

  • Attention to detail.

  • Customer service experience.

  • Strong organizational and time management discipline.

  • Solid judgment and ability to resolve conflicts effectively.

  • Operate effectively in stressful situations.

  • Ability to multi-task.

  • Ability to adapt to changing guest needs.

  • Flexible schedule
