Administration * Provides administrative support to the Vice President Design Services, the Design Services team and partly to the Finance team * Ensures the implementation of office policies, standards, and procedures as they apply to the administrative functions * Reads and routes incoming mail and faxes * Locates and attaches appropriate file correspondence to be answered * Uses a systematic and efficient filing system, both for hard files as well as all electronic data, that enables quick retrieval. Ensure all files are kept up to date at all times * Prepare the relevant materials for all courier mail (TNT, etc…) * Answers telephone and give information to callers or routes call to appropriate official and places outgoing calls * Greets visitors, ascertains nature of business, and conducts visitors to employer or appropriate person * Prepares travel arrangements and related issues for other departments during vacation absenses of other assistants * Makes copies of correspondence or other printed matter * Monitors and maintains the proper appearance of the Division’s office area * Ensures that the strictest confidentiality is maintained in dealing with all work-related matters * Check all meetings schedules on a daily basis both internal and external and arrange meeting set up or organisation (meeting rooms, desks, food or technical requirements etc..) General * Attends and contributes to all Meetings as required * Provide a courteous and professional service at all times * Willingly attends training sessions as scheduled to improve skills and knowledge * Handles all enquiries in a courteous and efficient manner * Understands and strictly adheres to rules and regulations established in the Employee handbook and the office policies * Ensure high standards of personal presentation and grooming * Maintains positive guest and colleague interactions with good working relationships * Exercises responsible management and behaviour at all times and positively representing Hyatt International * Responds to requests to undertake any reasonable tasks and secondary duties and to changes as dictated by the industry and company

* Experience as secretary or administrative assistant, in an international environment * Fluent in German and in English – written and spoken, German as mother language preferred * Responsible self-starter, capable of working under pressure. * Good communication skills, a proactive problem solver, paying attention to details * Team player, personality who values team work and is able to communicate effectively with all levels of employees. * Positive “can do” attitude and flexible approach, able to adapt in a changing environment and ready to work longer hours from time to time * Good computer skills - MS Office, Microsoft Outlook
