Hyatt Sales Executive - Rooms in JAKARTA, Indonesia
Duties and Responsibilities: Administration * To ensure and maintain efficient and accurate filing system of all sales agreements, contracts and quotes for the hotel, both manual as well as electronically as per Hyatt’s Policies & Procedures.
To fully and correctly use of Envision, ensure that up to date Envision records of all corporate and group accounts.
To follow all Hyatt Standards for answering phone enquiries, handling email enquiries, preparing proposals and contracts, conducting Hotel Tours, monitoring the planning and execution of Group, creating Group Resume and Group follow-up.
- To keep and to safeguard all contracts and financial documents.
- To ensure that all meetings are well planned, efficient and results oriented.
- Together with Event Sales Team, to be primarily responsible for converting all incoming leads.
- To answer incoming telephone enquiries and acknowledge emailed enquiries within two hours of receipt.
- Where required, to handle last minute leads from enquiry to conversion to the day of the event.
- To undertake telemarketing activities to identify new business opportunities where required.
- To follow the Hyatt Standards in relation to the conversion of Sales and Events leads.
- To deliver the brand promise and provide exceptional client service at all times.
- To provide courteous and professional service to our internal customers in other departments.
- Together with your MICE Planning Team, to be primarily responsible for planning and executing events after the Sales Team have received a signed contract and deposit from the client.
- To look after personal ‘repeat business’ contacts from enquiry to conversion to execution.

To systematically and efficiently call on prioritized accounts in your assigned territory and report findings and opportunities to the Director of Sales.
To define and target key accounts in your assigned territory, utilizing the Envision database and develop appropriate and effective sales solicitation strategies accordance to the principles of smart selling.
To review guestroom and function rooms blocked by you and your assigned staff weekly to ensure that all business on the books is “live” and traced, tracked for confirmation.
To continuously add and update the perpetual database of local group, sales lead and ensure implementation of an efficient and targeted acquisition your program.
To entertain potential and current customers based on business priorities.
To ensure a high level of exposure for the hotel through direct sales solicitation, telephone contact and written communication. 90% of own time you are to be dedicated to direct acquisition activities program individually or with sales team.
To review sales files to ensure correct booking procedures, including group room and meeting program history, contractual agreements, room block analysis, etc.
To ensure that all credit and collection procedures that have been established by the hotel are implemented following the established Credit Policies & Procedures.
To ensure that all necessary follow up of monthly credit meetings is presented in a concise and efficient manner.
To ensure that all sales contracts follow the established Hotel Policies & Procedures and are based and sound commercial judgment.
To ensure that the sales team projects a warm, professional and welcome image.

- To meet your designated revenue targets and providing a structured, timely, achievable personal business plan.
- To assist with the preparation and regular update of the departmental budget
- To continuously seek ways to maximise revenues and profits by cross selling and up-selling other hotel facilities and services
To support staff needs in other Divisions based on the hotel priorities and anticipated business levels.
To maintain complete and supported records of all sales agreements, contract and quotes for the hotel as per Hyatt International Policies & Procedures.
To have a good understanding of contribution margins for each product results and work with respective head of department to maximize Operating results.
To achieve targets in terms of number of new active Accounts, Room Nights and Revenue as set by the Director of Marketing.
To submit weekly sales call plan and entertainment schedule to the Director of Sales for approval. _ _ Sales and Marketing
- To fully utilise the correct photography, presentation material and approved selling phrases for all forms of client presentations.

To report for duty punctually wearing the correct uniform and name badge at all times accordance with Grand Hyatt Jakarta grooming standards.
To maintain a high standard of personal appearance and hygiene at all times.
To maintain a good rapport and working relationship with staff in the department colleagues and all other departments.
To attend and contribute to all staff meetings Departmental and Hotel trainings scheduled and other related activities.
To fully support the Departmental Training Function in the Department assigned.
To undertake any reasonable tasks and secondary duties as assigned by DOS/DOSM or Associate Director of Sales.
To respond to any changes in Sales function as dictated by the market and the hotel.
To project at all times a positive and motivated attitude and exercise self-control.
To handle guest and employee inquiries in a courteous and efficient manner and report guest complaints or problems to supervisors if no immediate solution can be found and assure follow up with guests.
To provide a courteous and professional service at all times.
To attend all meetings as required by Executive Management.
