Hyatt Owner Services Representative in US, Hawaii

Under the general supervision of the General Manager and/or his or her delegates and within the limits of the established Destination Residences Kona-Kohala (DRKK) policies and procedures, this individual is responsible for researching, coordinating, and ensuring accuracy and efficiency of the completion of services requested by the owners program for both Rental and Non-Rental Owners, for all properties Managed by DRKK.


  • Assist Owners with arrival and departure reservations.

  • Coordinate Housekeeping and maintenance requests for owners.

  • When requested, assist Owners with activity and dining reservations.

  • Assist with daily Administration Office responsibilities, such as: greeting visitors, referring visitors and vendors to the proper Manager or department, assisting with outgoing mail preparation, taking and receiving messages for Owners, guests, and Managers, assist Owners and Guests with outgoing dry cleaning, ensuring forms are prepared properly, prepare outgoing Federal Express or UPS packages, recording deliveries of packages/boxes from Federal Express, UPS, or other delivery companies.

  • Accurately log the daily activities for the day, such as reservations, requests, etc., in detail, for reference and follow up purposes. Maintains log in an easy access area for others to reference in the absence of the Owner Services Representative.

  • Maintain the Owner Key file, assuring that the keys are secured at all times and log completed.

  • Assist Contractors and Vendors, hired by Owners, with unit/home availability and reporting any discrepancies on timelines, especially if unit is in the Rental Program.

  • Release Owner unit/home keys to Contractors and Vendors on approval from Owners. Ensures accurate documentation of entry authorizations.

  • Assist Mauna Lani Point Association Manager with administrative duties as directed by the General Manager

  • Provide updated Owner Contact Information for Owner Database, using File Change Notice from the database.


The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job, with or without reasonable accommodation.

  • A "people person" who shares Aloha, is flexible with their schedule, loves to serve others, enjoys multi-tasking and has an impeccable eye for detail to ensure accuracy and efficiency.

  • Education: High School diploma or equivalent.

  • Training and Experience: Prior hotel or resort condominium experience helpful. Project coordination experience preferred.

  • Job Knowledge: Knowledge of the Maintenance and Housekeeping functions in a Property Management or hotel setting preferred. Familiar with the Mauna Lani Resort and Activities for the Island of Hawaii preferred.

  • Communicate professionally and effectively with Owners, Guests and Staff. Excellent verbal and written communication skills, in the English language and with people from diverse cultures and backgrounds.

  • Proficient in Microsoft Office Suite products such as Word, Excel, Outlook, etc., and able to draft and proofread correspondence and prepare reports as needed

  • Exceptional organizational skills, ability to pay attention to detail and to manage projects and establish priorities with diverse timelines and responsibilities.

  • Demonstrated experience and proactive approach in problem solving, investigation and research.

  • Must work with minimal supervision and have a proven record of accuracy.

  • Personal integrity and the ability to work cooperatively and effectively with others.

  • Must exercise the ability to remain calm and professional while managing multiple priorities and coordinating services with property departments.

  • Well-groomed professional appearance and demeanor.

  • Possession of a valid driver's license.

  • Physical Demands: Must meet the physical and mental health standards deemed necessary for performance of essential functions.
